Malayath Magic Circle – Nilambur (“we”) respects your privacy. This policy explains what personal information we collect when you register for our events (such as the Vazhakunnam Magic Conclave 2027), why, and what we do with it.
1. What we collect
- Contact details: your WhatsApp phone number, name, badge name, email address, city and state.
- Registration details: the registration option you choose, the days you attend, your role and years in magic, food preference, accommodation needs, and the name of your spouse or assistant if you add one.
- Photo: a photograph you send us for your badge and event records, only with your consent.
- Payment details: the payment ID, amount, date and method confirmed by Razorpay. We do not receive or store your card number, UPI PIN or bank details; they are handled by Razorpay.
- Messages: the WhatsApp messages you exchange with our registration number.
2. Why we use it
- To register you, confirm your payment and issue your registration ID and badge.
- To arrange the event: food, accommodation help, the days you attend, stalls and seating.
- To send you important information about the event (schedule, venue, changes) on WhatsApp or email.
- To keep accounting and event records and to answer your questions.
3. Who we share it with
We do not sell your personal information. We use trusted service providers who process it only to run the registration:
- Meta (WhatsApp Business Platform) – to send and receive your WhatsApp messages.
- Razorpay – to collect your payment.
- Google (Google Sheets) – where the registration list is kept for the organisers.
- Cloud hosting and messaging software providers – the systems that run our registration service.
We may also share information where required by law.
4. How long we keep it
We keep your information for as long as needed to run the event and for a reasonable period afterwards for records, accounts and follow-up events, unless you ask us to delete it sooner (see below).
5. Your choices and rights
You can ask us to show you the information we hold about you, correct it, or delete it, and you can withdraw your consent to your photo being used or to receiving messages. Write to malayathmagiccircle@gmail.com or message +91 98959 63377 and we will respond within a reasonable time. Some information (for example payment records) may need to be kept for legal and accounting reasons.
6. Security
We use access-controlled systems and take reasonable steps to protect your information. No online service is completely secure, so we cannot guarantee absolute security.
7. Children
Our registration is meant for adults. If a young participant is registered, it must be done by a parent or guardian.
8. Changes to this policy
We may update this policy; the date at the top shows the latest version.
